Privacy Policy

1. What data we process

Company customer data (company name, users, job settings) and candidate data provided by the candidate during the application process: name, contact information, resume (CV), as well as audio/video interview recordings, transcripts, and AI-generated assessments.

2. Purpose of processing

Data is used exclusively for candidate screening and assessment within your organization: conducting interviews, generating reports, and making hiring decisions.

3. Storage and security

Recordings and files are stored in Google Cloud Storage (European regions) and encrypted using AES-256. Access is isolated between organizations at the database level using Supabase Row-Level Security. Data belonging to one company is not accessible to other customers.

4. Third-party providers

The service relies on the following subprocessors: Google (Gemini, Cloud Storage, Speech-to-Text), Supabase, LiveKit, and Soniox (speech-to-text for interview recordings). We do not sell personal data or share it for advertising purposes.

5. Google Calendar Data

If you choose to connect your Google Calendar to Talkruit, we access Google Calendar data necessary to provide the calendar integration. This may include calendar event information such as event title, date and time, event status, and the Google Calendar event link.

We use this information solely to display your Google Calendar events within Talkruit and to provide calendar-related functionality requested by you.

When you schedule an interview in Talkruit, we create the corresponding event in your connected calendar and keep it in sync if the interview is rescheduled or cancelled. If you choose to hold the interview in Google Meet, the event is created with a Google Meet link and the candidate is added to it as a guest, so that they can join the call.

We do not sell Google Calendar data, use it for advertising or retargeting, or use it for purposes unrelated to providing or improving the calendar functionality of Talkruit.

We do not use Google Calendar data to train or improve generalized artificial intelligence or machine learning models.

Google Calendar data is not shared with third parties except where necessary to provide the calendar functionality requested by you, to maintain and secure the service, or where required by law.

Talkruit's use and transfer to any other app of information received from Google APIs will adhere to Google API Services User Data Policy, including the Limited Use requirements.

Specifically, Talkruit does not use Google Workspace APIs data (including Google Calendar data) to develop, improve, or train generalized AI and/or ML models. Any AI/ML features in Talkruit operate only on data you explicitly provide within the product (such as candidate resumes, interview recordings, and transcripts) and never on data obtained through Google Workspace APIs.

You can disconnect your Google Calendar integration at any time and request deletion of associated data by contacting us at hello@talkruit.space.

6. Google Meet recorder extension

Talkruit offers an optional Chrome extension, "Talkruit — Google Meet recorder", for interviewers who hold interviews in Google Meet. The extension works only on meet.google.com and does nothing until the interviewer starts a recording.

What it collects.When the interviewer presses "Start recording", the extension records the video and audio of that Google Meet tab together with the interviewer's microphone. It also reads the Meet link (to match the call with the interview scheduled in Talkruit) and the participants' display names (so the interviewer can mark which participant is the candidate), and stores the notes the interviewer types in the extension. To sign the interviewer in, it stores a Talkruit session token in the browser.

How it is used.When the recording stops, the file is uploaded to the interviewer's Talkruit workspace and processed in the same way as any other interview recording: it is transcribed and analysed with AI to prepare a report for the hiring team. The recording is kept in the browser only until the upload finishes. The extension does not record anything in the background, does not read other websites, and does not send data anywhere except Talkruit and its storage provider.

Consent. A recording cannot be started until the interviewer confirms that the candidate has been informed. Invitations to interviews scheduled in Google Meet through Talkruit state that the interview will be recorded.

We do not sell data collected by the extension, use it for advertising, or use it for purposes unrelated to the extension's single purpose of recording an interview and delivering it to Talkruit for analysis. Recordings follow the retention and deletion rules described below.

7. Data retention and deletion

Data is retained while the organization's account remains active or until a deletion request is made. Candidates and companies may request deletion of their data at any time.
